This position on the Maritime management team calls for a multi-skilled professional who has already demonstrated initiative and tact in a complex environment. As the Executive Assistant to the Managing Director, your primary objective will be to undertake special projects and research as well as plan, organize, and manage administrative activities and documentation for the Managing Director’s office to ensure information and inquiries are addressed quickly and efficiently. This position may be called upon to provide advice and support pertaining to operational and administrative activities to the regional management and administrative team(s).
The Executive Assistant will be required to coordinate and manage projects including strategic initiatives, special projects and research. You will frequently research, analyze and summarize data in spreadsheet and graphic form. You will also arrange and organize large meetings and events. Demonstrated success in this role is contingent on your ability to maintain confidentiality and appropriately treat sensitive information.
What you bring:
- University education as well as related working experience.
- Either a working knowledge of CBC’s organizational structure, corporate policies and procedures, or the demonstrated ability to acquire organizational knowledge quickly.
- Superior familiarity and experience with both MS Windows and Apple operating systems, and demonstrated ability to prepare and use spreadsheets, presentation software and electronic calendars (e.g. Excel, Word, Powerpoint, Keynote, Calendar).
- Demonstrated critical thinking ability to research and resolve problems.
- Excellent communications skills, both verbally and written. Bilingualism is an asset.
- Great initiative and the ability to put in place administrative, planning and organizational procedures for the office.
- The capability and comfort in working effectively with all levels of management, inside and outside the Corporation.
- Sound judgment and ability to manage a multitude of priorities and meet deadlines with attention to detail.
- Excellent time management skills with the ability to prioritize and work independently.
- Professional tact and diplomacy. This position requires the ability to comprehend and act on complex, confidential and sensitive matters.
- Superior organizational, interpersonal and public relations skills.
- Must be available to work extended hours, sometimes with little prior notice.
